Facilities Management Team Leader

Description:Exempt position established for the purpose of planning and coordinating the daily activities of the Facilities Maintenance staff including instruction, assignment of tasks, monitoring progress and maintaining the work flow. The work includes overseeing the daily operations of department, training and quality control overall daily operations and upkeep of the buildings and grounds, monitoring services performed by outside vendors, ensuring compliance with fire/safety codes and providing support for company functions.
Duties:Management of Facilities:
• Coordinates and oversees applicable facility, grounds and maintenance upkeep
• Develops and oversees space modifications and/or acquirement for the company.
• Coordinates use of the facility by outside groups
• Maintains and monitors off-site warehousing for archived records.
• Monitors for HIPAA requirements and violations.
• Maintains and monitors company-wide shredding for HIPAA compliance.
• Maintains building, site, and various equipment including minor repairs and installation.
• Responds to facility issues during and after business hours.
• Handles requests relating to buildings and grounds and can consist of light plumbing, electrical work, painting and all around “handyman” tasks – changing light bulbs, ballasts, and doorknobs.
• Monitors computerized heat, ventilation and air conditioning system (HVAC), schedules and monitors calls for service.
• Supervises Mail Center and all related activity to assure post is covered for company business needs.
• Maintains department process and procedure documents.

Safety and Security:
• Maintains the badge access database, including issuing and revoking badges.
• Runs various reports as standard procedure or as requested by Officers/Managers for employee monitoring purposes.
• Ensures Safety and Security.
• Conducts regularly scheduled safety and security audits.
• Interfaces with contracted security service and Alarm System Vendors for system failure resolution and/or to address and resolve reported incidents.
• Oversees building safety including, but not limited to, monitoring fire extinguishers, serving as liaison with the Fire Marshall, monitoring building and equipment for compliance with Occupational Safety and Health Act (OSHA) and other safety regulations. Maintains necessary Material Safety Data Sheets (MSDA) and monitors the Sonitrol fire panel.
• Responds to security alarms during and after business hours.

Vendor Negotiations:
• Assists with negotiations with vendors for services, pricing, equipment and/or related upgrades, stationary and modular furniture, off-site space for office and/or warehousing. Provides purchasing information and advice to employees and/or Managers and Officers.
• Serves as liaison with and monitors performance of vendors i.e.: custodial, security, HVAC, plumbing, electrical, off-site warehouse landlords.
• Completes Requests for proposal for service(s).

Qualifications:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience:
One year certificate from college or technical school; A minimum of four (4) years work experience performing general maintenance including moderately complex plumbing and electrical repairs.

Language Ability:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Math Ability:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills:
Microsoft Word, Excel, Outlook, Sonitrol Advantage Access software, various HVAC and fire alarm controls, basic back-up generator operation.

Certificates and Licenses:
Valid State of Florida Drivers License with Safe Driving Record; If other state license, must obtain Florida license within 30 days of placement.

While performing the duties of this Job, the employee is regularly required to stand; walk; use hands to finger, handle, or feel and reach with hands and arms. The employee is frequently required to climb or balance; stoop, kneel, crouch, or crawl and talk or hear. The employee is occasionally required to sit.

Work Hours:
Monday – Friday; Flex hours between 6:00 a.m. and 6:00 p.m. with at least 30 minute lunch and not more than a 90 minute lunch.
